Pad printing is one of those processes most people have never heard of until they need it. If you have ever ordered branded pens, keychains, golf balls, USB drives, or any small curved item with a logo on it, there is a good chance pad printing was used to put it there.

It is a precise, versatile process, but it has specific artwork requirements that catch a lot of people off guard. Here is what pad printing is, why it works the way it does, and how to make sure your logo file is ready for it.

What Is Pad Printing?

Pad printing transfers ink from an etched plate onto an object using a silicone pad. The pad picks up the ink pattern from the plate and then presses onto the surface of the product, conforming to curved or uneven surfaces that other printing methods cannot handle.

This is why pad printing is used for items like pens, keyrings, medical devices, electronics, and industrial components. It works on materials that would be impossible to print on flat, and it produces clean, precise results on surfaces that are round, textured, or contoured.

Why Artwork Requirements Are Strict

The plate used in pad printing is etched based on your artwork. Every detail in the artwork becomes a physical feature in the plate. If the artwork has soft edges, gradients, or excessive fine detail, the etching process cannot reproduce them accurately.

The silicone pad also has physical limits. Extremely fine lines, very small text, and intricate details can become lost or merged during the ink transfer from plate to product.

This means pad printing works best with bold, clean, simple designs. Not because the process is crude, but because the physical limits of the etching and transfer process demand clean input.

What Your File Needs to Look Like

Vector Format Is Required

Pad printing suppliers almost universally require vector files. An AI or EPS file is the standard. SVG is sometimes accepted. PNG and JPG are not suitable.

The reason is the same as for most professional print processes: vector paths give the plate-making process accurate, scalable shape information. A raster image, even a high-resolution one, gives the plate-maker pixels to interpret rather than precise shapes to work from.

Colors Must Be Flat and Separated

Each color in pad printing is printed as a separate pass. One color, one run through the machine. Two colors means two separate plate passes.

This means every color in your design must be a flat, solid fill. No gradients. No semi-transparent areas. No drop shadows or glows. Each color area must be clearly defined and separated from the others.

For logos with gradients, the gradient needs to be removed and replaced with flat colors before submitting for pad printing. A designer can handle this as part of the file preparation.

Color Count Affects Cost

Because each color requires a separate plate and a separate press pass, the number of colors directly affects the cost and the complexity of the job. Most pad printing jobs are one to three colors. Beyond four or five colors, the process becomes expensive and the alignment between passes becomes more challenging.

If your logo has many colors, consider whether a simplified version with fewer colors works for the specific product you are printing on. A one-color or two-color version of a logo often reads very well on a small promotional item.

Minimum Line Width and Text Size

Pad printing has real physical limits on how fine a detail can be reproduced. As a general guideline:

  • Lines should be at least 0.5 to 1 millimeter wide at the final print size
  • Text should be at least 5 to 6 point at the final print size for block or sans-serif fonts
  • Fine serif fonts and script typefaces may need to be larger to remain readable

Very small imprint areas, like the clip of a pen or the face of a small keyring, have even tighter limits. Your supplier can advise on minimum detail for the specific product you are ordering.

Know the Imprint Area

Every product has a defined imprint area: the maximum space available for the logo. This varies by product and supplier. A standard ballpoint pen might have an imprint area around 40mm wide by 7mm tall. A golf ball might be 32mm in diameter.

Before finalising your artwork, get the imprint area dimensions from your supplier and fit your design within those bounds. A logo that fills a large banner does not automatically work on a pen barrel. The design may need to be simplified or a condensed version may be needed specifically for this application.

Getting Your Logo Pad Printing Ready

If your logo only exists as a PNG or has gradients and fine detail that will not survive the process, the preparation steps are:

1. Convert to a clean vector file if not already in vector format 2. Remove gradients and replace with flat color equivalents 3. Check and increase any lines or text that fall below minimum size at the imprint dimensions 4. Reduce color count if the design has more colors than the job supports 5.
