You approved the logo on your computer. It looked sharp, the colors were right, everything seemed good. Then the printed version arrived and something is clearly off. The colors are duller, the edges look soft, or the logo is blurry at the size it was printed.
This is a frustratingly common experience, and it almost always comes down to the same set of causes. Here is exactly what is going wrong and how to stop it happening again.
Screens and Printers Work Completely Differently
Your screen creates color using light. It mixes red, green, and blue light to produce every color you see, a system called RGB. The brighter and more intense the light combination, the more vivid the color.
Printers use ink. Most professional printers mix cyan, magenta, yellow, and black to produce color, a system called CMYK. Ink absorbs light rather than emitting it, which means colors are produced differently and the range of achievable colors is not the same as on a screen.
Some colors that look vivid on a screen simply cannot be reproduced accurately in ink. Bright electric blues, vivid purples, and neon greens are common examples. When a rich RGB color gets converted to CMYK for printing, it often comes out looking duller or shifted.
If your logo file was built in RGB and sent to a printer without conversion, the printer's software converts it automatically. Automatic conversion does not make the same choices a designer would make and can produce results that look noticeably different from what was on your screen.
The File May Be Raster When It Needs to Be Vector
This is the most common cause of blurry or degraded print quality. A PNG or JPG logo is made of pixels. It has a fixed size. When a printer scales it up beyond that size, the pixels spread out and the result is blurry.
A logo that is 500 pixels wide looks fine on a website but will print blurry on a standard A4 flyer if the logo is displayed at more than about an inch and a half wide. At banner or signage scale, the blurring becomes severe.
A vector file has no maximum size. It describes shapes mathematically rather than storing pixels, so it can be printed at any size without any quality loss. The same file works on a business card and a billboard.
If your print result looks blurry or soft, there is a very high chance the file that went to print was a raster image rather than a vector file.
The Resolution Was Not Sufficient for the Output Size
Even when a raster file is technically acceptable for a particular print job, the resolution has to be appropriate for the output size.
The standard for professional print production is 300 DPI at the actual print dimensions. A logo that is 1000 pixels wide prints at around 3.3 inches at 300 DPI. At anything larger, the quality starts to drop.
A mistake that comes up constantly: someone opens their PNG in Photoshop, changes the DPI setting from 72 to 300, and believes the resolution is now fixed. It is not. Changing the DPI metadata without resampling the image does not add any new pixels. The image contains exactly the same amount of information as before. All that changed is a label.
Actual resolution for print means having enough pixels to cover the output dimensions at 300 DPI. A vector file sidesteps this entirely because it has no pixel dimension to worry about.
The Color Profile Was Not Set Up for Print
Design software can work in different color profiles. sRGB is the standard for screen and web work. Adobe RGB is a wider gamut profile sometimes used by photographers. CMYK is the standard for print production.
If your logo file was designed in sRGB or Adobe RGB and sent to a commercial printer without converting to CMYK, the conversion happens at the printer's end. Depending on their workflow and software, the result may not match what you saw on screen.
For logos with specific brand colors, the conversion can shift the color noticeably. A deep navy that looked right on screen might print with a slight purple or green cast depending on how the conversion is handled.
The fix is to design in CMYK for print-bound work and define brand colors with Pantone references so any printer can match them accurately regardless of software.
The Monitor Was Not Calibrated
Most screens are not calibrated to represent color accurately for print purposes. Consumer monitors are typically set for vivid, bright display rather than accurate color reproduction. What looks correct on an uncalibrated screen can look quite different on another screen or in print.
This is especially relevant for color-critical work. If you approved a print-ready design on an uncalibrated home monitor, the colors you approved may not be what a properly profiled print workflow would produce.
For most business logo situations, the fix is simpler than monitor calibration: define your brand colors precisely using Pantone references and CMYK values, and give those values to every printer you work with. That removes the ambiguity of screen-based color approval.
The Proof Was Skipped
A digital proof looks at the file on screen and confirms the layout is correct. A printed proof actually tests how the file looks when printed on the target equipment and material. These are very different things.
For important print jobs, especially first runs with a new printer or on a new material, a physical proof before the full print run catches color, quality, and layout issues before they affect the entire order. Most professional printers offer proofs. The cost is small relative to discovering a problem after several hundred pieces have been printed.

Can I make my PNG look better for print by increasing the resolution in Photoshop?
Not by changing the DPI setting alone. If you use Photoshop's Image Size with resampling enabled, it can add pixels, but the added pixels are estimated by the software and the result is not the same as having the original detail. For logos specifically, a proper vector redraw always produces better results than upscaling a raster file.
My printer said my colors would look different in CMYK. Is there anything I can do?
Yes. Define your brand colors using Pantone references and ask your printer to match those specific Pantone values.
